Job overview

The Miele X Office Manager, reporting to the Director Operational Excellence & Information Management, coordinates and oversees administrative duties in our (virtual) office and ensures that the office operates efficiently and smoothly. Responsibilities include duties like managing, organizing, and coordinating daily office operations/activities, ensuring procedures and resources are in place to facilitate organizational effectiveness as well as representing Miele X as the first point of contact for in- and external stakeholders. The ideal candidate must be well organized, have a strong sense of prioritization, and ability to multitask. Next to this a customer-friendly approach and open personality are key to becoming the spider in the web of our young and vibrant organization. Experience in an international and diverse work environment is advantageous

Your day-to-day job


  • Arrange all packaging and post items, timely ordering of office supplies/inventory and provide support to the various teams with onboarding and offboarding schedules, meetings, items and hardware.
  • Promote a positive and productive office culture and help plan and facilitate company-wide events and communications in cooperation with colleague management assistants in the office management team.
  • Assist management in driving operational execution through use of operation support tools (JIRA, excel etc) and propose optimization opportunities pro-actively. Build, negotiate and manage vendor relationships and carry out health and safety audits.
  • Govern and maintain the office management roadmap and advise, guide and enable the operations team in preparation for the transfer to a new office building.
  • Ensure management expectations are clearly communicated across teams, and on all levels – drives progress through great interpersonal and engaging skill

We are looking for

  • Bachelors degree and min. 5+ years of work experience as an office manager and/or significant experience as an operations manager in a larger company or start-up – Advanced Microsoft Office Suite- and Excel knowledge are a must, JIRA knowledge advantageous.
  • Self-starter with strong project management and organizational skills. Outstanding relationship skills with intercultural and political intelligence
  • Strong drive to make things happen, works with little or no supervision. Customer service minded and flexible in finding easy solutions under time pressure.
  • Attention to detail and technicalities, enjoys multi-tasking and to drive fast results with experience in guiding and influencing people without being their manager.
  • Fluent in Dutch and English and well-crafted written and spoken communication.
