Miele X is looking for an Executive Assistant to support our Managing Director! As a new member, you will be part of the People & Engagement Team and report directly to the HR Director. You will work closely with the MD, supporting all aspects of his daily work routine and ensure process efficiency.

Your day-to-day job

  • Maintaining the MD’s mailbox, determining the priority of matters requiring the MD's attention; redirecting tasks to appropriate employees or handling them personally as necessary.
  • Keeping the MD informed of time-sensitive and priority issues and ensuring appropriate follow-up.
  • Proactively managing the calendar: creating, scheduling, and maintaining meetings, including booking and confirming large cross-functional meetings across multiple time zones.
  • Planning management team meetings, kick-offs, weekly stand-up meetings, offsites, leadership and board meetings, as well as organizing meetings with external partners (including meeting notes, follow-up on actions, tasks and updating decision lists). Planning and facilitating townhall meetings.
  • Managing day-to-day administrative, organizational, and clerical tasks (e.g., signing NDAs, contracts, reimbursement, approving Declaree, managing approvals in ADP), document management, and ad hoc reporting (e.g., setting up purchase orders in SAP).
  • Serving as a liaison between the MD, employees, and the public. This includes receiving and screening the MD's phone calls, mails and visitors, tactfully and diplomatically addressing various questions, taking messages, and directing calls appropriately for resolution.
  • Acting as the primary point of contact between the Office of the MD, HQ, and Global Miele Offices, helping to coordinate the work of different groups and providing administrative support for meetings.
  • Coordinating end-to-end travel arrangements as required, both domestically and internationally, including flights, hotels, taxis, visas, etc.
  • Undertaking any additional or alternative duties as assigned from time to time, supporting other departments or executives as needed.

We are looking for

  • Minimum of 5-7 years of proven success as an Executive Assistant in a fast-paced environment.
  • Highly structured and self-organized, with keen attention to detail. Demonstrates initiative and ownership of tasks, even with minimal direction. Able to work under pressure and handle ad hoc tasks efficiently.
  • Extensive experience in complex calendar management, preferably across different time zones.
  • Proficient communicator at all levels, with a hands-on attitude and experience in international, cross-functional teams and agile methodologies.
  • Effective in engaging with stakeholders at all levels; skilled in building strong relationships.
  • Computer skills, including advanced proficiency in Excel, Word, and PowerPoint.
  • Experience in handling administrative and clerical tasks, working with various types of documentation.
  • Sufficient knowledge and experience in arranging all the necessities for business travel.
  • Fluent in business English; proficiency in German is a plus.
  • Please, note that we would expect you to work from the office minimum 3 days a week (preferably Monday to Wednesday).
